Privacy Policy

This Privacy Policy explains how Juvenessence, LLC, doing business as Juvenessence Medical Aesthetics, collects, uses, discloses, and protects information through the Juvenessence website, booking experience, administrative tools, and VirtualMedSpa platform modules, including the Accounting module that can connect to QuickBooks Online.
1. Information We Collect
We collect information you provide directly, information generated by your use of our services, and information that authorized third-party services make available to us.
- Contact and account details, such as name, email address, phone number, staff role, login status, and communication preferences.
- Scheduling and client-service details, such as requested services, appointment times, provider selections, booking status, and operational notes needed to provide service and support.
- Business and accounting records processed through the Accounting module, such as customer, invoice, payment, sales receipt, item, company profile, tax, account, and transaction metadata, depending on the QuickBooks Online permissions you authorize.
- Technical and security information, such as device, browser, IP address, request logs, authentication events, integration status, error diagnostics, and audit records.
2. QuickBooks Online And Intuit Data
If you connect the Accounting module to QuickBooks Online, we access QuickBooks Online data only after an authorized user completes Intuit's OAuth authorization flow. The data we request is limited to what is reasonably needed to provide accounting sync, reconciliation, reporting, troubleshooting, and related administrative features.
We do not sell QuickBooks Online data, use it for unrelated advertising, or disclose it except as described in this policy. You may disconnect the integration through QuickBooks, Intuit account tools, or by contacting us. After disconnection, the Accounting module will no longer make new QuickBooks Online API calls for that company unless it is reauthorized.
3. How We Use Information
- Provide, operate, secure, and improve the services.
- Schedule appointments and support client and staff workflows.
- Sync, reconcile, and display authorized accounting records.
- Authenticate users, enforce permissions, and maintain audit logs.
- Respond to support requests, security events, and legal duties.
- De-identify or aggregate information for reliability, analytics, and product improvement where appropriate.
4. How We Share Information
We share information only as needed to operate the services, comply with law, protect rights and safety, or complete a business transaction. Examples include hosting, database, security, payment, scheduling, communications, analytics, professional-advisor, and integration providers. QuickBooks Online data is shared with Intuit as needed to maintain the integration and with authorized users in your organization according to their permissions.
We do not sell personal information. We also do not share personal information for cross-context behavioral advertising.
5. Health, Clinical, And Payment Information
Juvenessence provides medical-aesthetics services, and some scheduling or client-service records may be sensitive. The VirtualMedSpa platform is intended to minimize sensitive health information in accounting records. Do not enter clinical details into QuickBooks descriptions, memos, or other accounting fields unless your organization has approved that workflow. This Privacy Policy is not a HIPAA Notice of Privacy Practices; clinical privacy notices and consents may apply separately.
6. Data Retention
We retain information for as long as needed to provide the services, comply with legal and accounting obligations, resolve disputes, enforce agreements, maintain security, and support audit requirements. Retention periods vary by record type, customer configuration, and legal need. When information is no longer needed, we delete, de-identify, or aggregate it where feasible.
7. Security
We use administrative, technical, and organizational safeguards designed to protect information, including access controls, server-side secret handling, encrypted transport, audit records, and least-privilege integration design. No internet service can be guaranteed perfectly secure, so you should protect your account credentials and promptly report suspected unauthorized access.
8. Your Choices And Rights
You may request access, correction, deletion, or export of personal information where applicable law requires. Authorized QuickBooks Online users may revoke the Accounting module's access through Intuit account or QuickBooks connection settings. We may need to retain certain records for legal, security, medical, accounting, or audit reasons.
9. Children's Privacy
The services are intended for adults and business users. They are not directed to children under 13, and we do not knowingly collect personal information from children under 13 through the platform.
10. Changes To This Policy
We may update this Privacy Policy from time to time. The effective date above shows when it was last revised. Material changes will be posted on this page or communicated through an appropriate service channel.
